Job Description :
The Association of Southeast Asian Nations (ASEAN) was founded in 1967 with the purpose of promoting regional cooperation in Southeast Asia, in the spirit of equality and partnership and thereby contribute towards peace, progress and prosperity in the region. ASEAN comprises eleven countries in Southeast Asia, with Timor-Leste being admitted as an ASEAN Member State during the 47th ASEAN Summit on 26 October 2025 in Kuala Lumpur, Malaysia. It was proclaimed a Community through the “Kuala Lumpur Declaration on ASEAN 2025: Forging Ahead Together”, signed by the ASEAN Leaders during their 27th Summit 2015. The ASEAN Community Vision 2025 calls for the ASEAN Community in forging ahead together, and to work towards building a community that is politically cohesive, economically integrated and socially responsible. 

The ASEAN Secretariat was established in 1976 by the Foreign Minister of ASEAN with basic functions of providing greater efficiency in the coordination of ASEAN organs and for more effective implementation of ASEAN projects and activities. It is also envisioned to be the nerve centre of a strong and confident ASEAN Community that is globally respected for acting in full compliance with its Charter and in the best interest of its people.

In alignment with ASEAN 2045: Our Shared Future and Key Aspirations of the three pillars of the ASEAN Community and ASEAN Connectivity, the ASEAN Secretariat is inviting Indonesian Citizens or ASEAN Nationals who are already residing and eligible to work in Indonesia to apply for the position of Receptionist under Administration & General Affairs Division, Community and Corporate Affairs Department.


Remuneration and Benefits:
Successful candidate will be offered a basic salary of IDR 5,607,630 and attractive remuneration package including monthly transportation allowance, outpatient medical reimbursement, hospitalisation & life insurance, annual bonus of a month’s basic salary, and gratuity. Subject to good performance during the probation, the candidate will be offered a fixed term contract of three (3) years, inclusive of the six-month probationary period. Please note that ASEAN Secretariat Staff shall not be retained in active service beyond the age of 60 years.

Responsibilities
  1. Reporting to the Assistant Director and Senior Officer of Administration and General Affairs Division, the staff shall be responsible for the following duties:

    1. Receiving guests in courteous manner, responding to inquiries and providing relevant information.
    2. Providing direction for guests to appropriate location or person.
    3. Maintaining the record of incoming correspondence, letters and packages, and following up with the relevant divisions/directorates/departments.
    4. Managing official courier and dispatch services.
    5. Managing incoming and outgoing telephone calls include routing long-distance calls.
    6. Handling inquiries over the telephone, taking accurate messages, and ensuring prompt follow-up.
    7. Preparing report on the usage of outgoing telephone.
    8. Performing other relevant duties as assigned by the Supervisor/s and/or higher authorities of the ASEAN Secretariat.
Qualifications
    • Appropriate technical and/or other training relevant to the position is preferred, with a minimum of one (1) year of work experience in Administrative Support role.
    • Demonstrate ability to plan and organise tasks and workflows, with proven ability for accuracy under pressure and adherence to deadlines.
    • Ability to communicate effectively with colleagues at all levels of the organisation.
    • Demonstrate commitment to collaborative work practices.
    • Competent level of oral and written communication skills, including experience in cross-cultural environment and international settings.
    • Competency in computer skills with adequate knowledge of Microsoft Office including Microsoft Outlook.
    • Proven ability to maintain confidentiality of matters related to workplace.
    • Sound command of English, written and spoken.
