The ASEAN Secretariat was established in 1976 by the Foreign Ministers of the ASEAN Member States with basic functions of providing greater efficiency in the coordination of ASEAN organs and for more effective implementation of ASEAN projects and activities. It is also envisioned to be the nerve centre of a strong and confident ASEAN Community that is globally respected for acting in full compliance with its Charter and in the best interest of its people.
In alignment with the ASEAN 2025 and Key Aspirations of the three pillars of the ASEAN Community, namely the ASEAN Political-Security Community (APSC), the ASEAN Economic Community and the ASEAN Socio-Cultural Community, supported by the Department of Community and Corporate Affairs, the ASEAN Secretariat is inviting qualified Indonesian Citizens or ASEAN Nationals who are already residing and eligible to work in Indonesia to apply for the position of Building Facilities Management Officer for Administration and General Affairs Division, Community & Corporate Affairs Department.
Remuneration and Benefits:
Successful candidate will be offered a basic salary of IDR 16,835,950 and attractive remuneration package including monthly transportation allowance, outpatient medical reimbursement, hospitalisation & life insurance, annual bonus of a month’s basic salary, and gratuity. Subject to good performance during the probation, the candidate will be offered a fixed term contract of three (3) years, inclusive of the six-month probationary period. Please note that ASEAN Secretariat Staff shall not be retained in active service beyond the age of 60 years.

Reporting to the Assistant Director and Senior Officer Property Management of Administration and General Affairs Division, the Officer shall be responsible for the following duties:
1. Manage all ASEC’s premises, equipment, and office maintenance including smooth operations of AC system, electricity, generator set, and elevator;
2. Responsible to maintain the Green Building certification of new ASEC building.
3. Responsible for the Building Automation System (BAS) in the new Building;
4. Ensure that health and safety obligations are appropriately complied at all time in ASEC’s premises (e.g. during the renovation, the contractor shall put a proper signage);
5. Undertake minor repairs of the office furniture, facilities, and building when necessary;
6. Prepare report on current conditions of ASEC new building and propose refurbishment or renovation when necessary;
7. Carry out standard civil engineering design, drawings in the Auto-CAD and 3D (Sketch-up);
8. Prepare scope of work and bill of quantity (BOQ) when necessary;
9. Assist in updating or developing SOPs related to premises and property management;
10. Update and maintain ASEC list of assets/properties;
11. Conduct annual physical verification of assets/properties and prepare report of the findings including proposed actions to be taken;
12. Ensure that each fixed asset is tagged with its corresponding asset number and properly assigned to user; and
13. Assist supervisor on the yearly budget preparation.
14. Perform other relevant duties as assigned by the Head of Division and/or higher authority of ASEC.

Advanced degree in Civil Engineering or an appropriate related field or discipline or Bachelor degree in the afore-mentioned fields or discipline with a minimum of two (2) years of relevant work experience in high rise building BAS.

Having Greenship certification from GBCI.

Experience in managing Building Automation System (BAS).

Demonstrated ability to plan and organise tasks/work flows.
