Job Description :
The Association of Southeast Asian Nations (ASEAN) was founded in 1967 with the purpose of promoting regional cooperation in Southeast Asia, in the spirit of equality and partnership and thereby contribute towards peace, progress and prosperity in the region. ASEAN comprises eleven countries in Southeast Asia, with Timor-Leste being admitted as an ASEAN Member State during the 47th ASEAN Summit on 26 October 2025 in Kuala Lumpur, Malaysia. It was proclaimed a Community through the “Kuala Lumpur Declaration on ASEAN 2025: Forging Ahead Together”, signed by the ASEAN Leaders during their 27th Summit 2015. The ASEAN Community Vision 2045: Our Shared Future articulates the collective aspiration of the ASEAN Community to realise a resilient, innovative, dynamic, and people-centred ASEAN by 2045, envisioning a developed ASEAN as the epicentre of growth in the Indo-Pacific region. 

The ASEAN Secretariat was established in 1976 by the Foreign Minister of ASEAN with basic functions of providing greater efficiency in the coordination of ASEAN organs and for more effective implementation of ASEAN projects and activities. It is also envisioned to be the nerve centre of a strong and confident ASEAN Community that is globally respected for acting in full compliance with its Charter and in the best interest of its people.

In alignment with the ASEAN Community Vision 2045 and Strategic Plans of the three ASEAN pillars of Political-Security Community, Economic Community and Socio-Cultural Community, and ASEAN Connectivity, and supported by the Department of Community and Corporate Affairs, the ASEAN Secretariat is inviting Indonesian citizens or ASEAN Nationals who are already residing and eligible to work in Indonesia to apply for the position of Officer for the Initiative for ASEAN Integration (IAI) & Narrowing the Development Gap (NDG) Division, ASEAN Economic Community Department.  


Remuneration and Benefits:
Successful candidate will be offered a basic salary of IDR 16,835,950 and attractive remuneration package including monthly transportation allowance, outpatient medical reimbursement, hospitalisation & life insurance, annual bonus of a month’s basic salary, and gratuity. Subject to good performance during the probation, the candidate will be offered a fixed term contract of three (3) years, inclusive of the 6-month probationary period.

Responsibilities
Reporting to the Assistant Director/Head and Senior Officer of IAI & NDG Division, the Officer shall be responsible to:

I.    Coordinate the implementation of the NDG initiatives and IAI, through the IAI Work Plans:

   a) Project/Programme Management:

   1. Coordinate with project proponents and relevant Divisions in the ASEAN Secretariat in the development of the project proposals;

   2. Follow-through the project proposals that are submitted for ASEAN’s funding approval process;

   3. Work closely with the project proponents/consultants, beneficiary countries, relevant desk officers and CLMV-TL focal points to ensure effective and timely implementation of projects/programmes;

  4. Coordinates   the   implementation of   programmes   where   the   Division   is   the implementing agency;

  5. Compile information on the progress of the IAI Work Plan implementation and the results;

  6. Regularly update the IAI projects’ database, including the monitoring and evaluation matrices; and

  7. Consolidate the information necessary to prepare background/assessment documents to inform and facilitate donor coordination initiatives.

b) Provide technical support to the meeting serviced by the Division, including:

   1. Prepare drafts, compile and circulate documents for the meetings;

   2. Assist in rapporteur of the meetings;

   3. Coordinate and monitor the follow-up actions and decisions; and

   4. Arrange meeting logistics.

 

II.    Monitors the implementation of sub-regional initiatives:

a) Compile information on the implementation of sub-regional initiatives;

b) Assist in servicing of selected sub-regional cooperation meetings; and;

c) Prepare talking points and briefing notes.

 

III.    Disseminates and manages information (knowledge management) of IAI and NDG –related information:

a) Prepare draft of information materials, including press release, powerpoint presentation, and promotional material:

b) Provide Organise events to promote activities under the IAI Work Plan, including:

    1. Prepare draft of background documents;

    2. Assist Draft and disseminate invitation letter;

    3. Maintain database/mailing list appropriate for each activity; and

    4. Carry out logistical arrangements.

c) Regularly update the IAI & NDG section of the ASEAN website.

 

IV.    Perform other duties as may be assigned by the Supervisors.

Qualifications

  • Advanced degree in Economics, Management, Development Studies, Political and Social Sciences; and/or Bachelor’s degree in the afore-mentioned fields or discipline with a minimum of two (2) years of relevant work experience in developing or managing projects/programmes, preparing reports and organising meetings, conferences and other events, shall also be considered.
  • Demonstrated ability to plan and organise tasks and work flows, with proven ability for accuracy under pressure and adherence to deadlines.
  • Demonstrated commitment to collaborative work practices in multi-cultural environment.
  • Proven skills in problem solving in a complex organisational environment and in work planning.
  • Ability to multi-task, work long and irregular hours, perform tasks outside the usual job scope, and willingness to travel frequently on short notice.
  • Good interpersonal communication skills.
  • Good command of English, written and spoken.
  • Competency in computer skills with adequate knowledge of Microsoft Office and Outlook, and the use of Generative AI, where relevant to the position.
